Using Knowledge Databases

To integrate specific knowledge from various sources into Alan, you can use knowledge databases in your chats.

Selecting Knowledge Databases

To use knowledge databases in a chat, they must first be selected.

In new or existing chats, click "Knowledge databases" below the input bar. A quick-select popover opens where you can directly select or deselect pinned, suggested, or currently selected knowledge databases.

When you click "Show more..." in the quick-select, the "Configure chat" dialog opens with the tabs Knowledge databases, Abilities, and Models. On the Knowledge databases tab, you find an overview of all knowledge databases available to you. This includes all knowledge databases that you have created yourself or that have been shared with you. Click the button at the start of a row to select or deselect a knowledge database.

When you select one or more knowledge databases, Alan can access the contained sources in this chat and use this knowledge in its responses.

The selected knowledge databases can be adjusted at any time during the chat, allowing you to specifically control which information Alan can access for which answers.

Pinning Knowledge Databases

To quickly find and select your most frequently used knowledge databases, you can pin knowledge databases. Pinned knowledge databases are always displayed at the top of the full list of available knowledge databases. They are also shown preferentially in the quick-select below the input bar.

How you can pin a knowledge database:

  1. Click "Knowledge databases" below the input bar and then "Show more..." in the quick-select to open the overview of all knowledge databases available to you in the chat configuration.
  2. Find the knowledge database you want to pin and click on the pin symbol at the end of the row. Alternatively, you can click on the pin symbol in the top right corner in the detail view on the right.
  3. The pin symbol will become dark to indicate that the knowledge database is pinned. The knowledge database will now be displayed at the top of the list.

If Alan used sources to generate an answer, an indicator with the number of sources used is shown below the message (e.g., "5 sources").

When you click this indicator, a list of the sources used appears below the message. If you then click on a source, the list view switches to a detail view in which you can examine the excerpt or excerpts of the source that were used.

Status of a Knowledge Database

In the overview of available knowledge databases, you find information on who created the knowledge database and its current status.

Knowledge databases with the status ready are fully usable.

If errors occurred while processing or the processing of the knowledge database is not yet complete, you can use the knowledge database in your chats, but not all the contained information will be available to Alan.
